Counter Sales with ScanIt Parts

Track: Point of Sale

What is POS Scanning?

The Point of Sale module speeds up counter sales with barcode scanning. Instead of typing part numbers into your DMS by hand, just scan the barcode. The system pulls up part info, pricing, and stock right away.

POS scanning provides:

  • Speed -- Scan in seconds instead of typing part numbers
  • Accuracy -- Stops manual entry mistakes
  • Real-time pricing -- Price lookup from your DMS on the spot
  • Stock check -- Confirm what's on hand right away
  • Happy customers -- Faster service at the counter

POS Hardware Options

ScanIt Parts supports two types of scanners for point of sale work:

USB Counter Scanner (Zebra LS4208)

The Zebra LS4208 is a handheld barcode scanner that plugs into your computer via USB. It's the top choice for busy counters because it sits right there and is always ready.

  • Plug and play -- No software install needed
  • USB connection -- Plugs directly into your computer
  • Fast scanning -- Reads barcodes at any angle
  • Tough -- Handles 6-foot drops to concrete
  • Light -- 6.4 oz for easy one-handed use

Handheld Scanner (Monarch 6059+)

The Monarch 6059+ also works for POS when you need to move around or print labels:

  • Wireless -- Not tethered to the counter
  • Built-in printer -- Print POS price labels on the spot
  • Full POS screen -- See pricing, stock, and part info right on the scanner
  • Walk-around use -- Help customers on the floor
Best Practice:

Use the USB counter scanner for high-volume counter sales (fastest) and the handheld 6059+ when you need to print labels or help customers on the floor.

Basic Counter Sale Workflow

Here's how a normal counter sale works:

  1. Customer brings a part to the counter or gives you a part number.
  2. Scan the barcode with your counter scanner (USB) or handheld 6059+.
  3. Check the part -- Part info shows on your screen. Make sure it's the right one.
  4. Check price and stock -- See list price, your cost, on hand, and what's open to sell.
  5. Finish the sale in your DMS.
  6. DMS updates stock on its own.
Tip:

For more than one part, just keep scanning. Each scan adds the part to the sale. Much faster than typing each number by hand.

What You See When You Scan

When you scan a part for POS, the system shows:

  • List price -- The maker's retail price
  • Your cost -- What you paid for the part
  • On hand -- How many you have in stock
  • Open to sell -- What isn't held for other orders

Each customer's price comes from your DMS based on their account type (retail, wholesale, employee, etc.).

POS Labels (6059+ Only)

POS labels are price labels for customers. Print them from the Monarch 6059+ scanner. They show:

  • Big price text -- Easy for customers to read
  • Part number barcode -- For quick re-scanning
  • Part name -- What the part is
  • Bin location -- Where to find it

To print a POS label: Part Inquiry > Scan Part > Labels > Point of Sale > Print

Tip:

POS labels also work great on display shelves where customers browse. The price tag helps them decide without asking for help.

USB Scanner Setup

Setting up the Zebra LS4208 takes about 30 seconds:

  1. Plug the USB cable into any open USB port on your computer.
  2. The scanner is found on its own -- no drivers needed.
  3. Put your cursor in the DMS part number field.
  4. Scan a barcode -- the number shows up where your cursor is.

Troubleshooting

USB scanner not scanning

Unplug and replug the USB cable. Try a different port. Make sure the cursor is in the right DMS field.

Barcode not recognized

Try scanning at a different angle. If the barcode is damaged, type the part number by hand.

Wrong price displayed

Pricing comes from your DMS. Check that the price in your DMS is right.

Part shows out of stock

Check if stock is held for other orders. Go look at the bin to be sure.

Scanner scans but nothing appears on screen

Make sure your cursor is in the DMS input field before you scan.

POS label will not print (6059+)

Check label stock and printer connection. See the Printer Troubleshooting lesson for details.
