Why Check Daily Reports?

ScanIt Parts generates daily reports that help you catch problems before they become bigger issues. These reports are accessed through the web dashboard and should be reviewed every day to ensure accurate inventory.

Accessing Reports

Daily reports are available in the ScanIt Parts web dashboard:

  1. Log in to the ScanIt Parts Dashboard.
  2. Navigate to the Reports section from the main menu.
  3. Select the report you want to view.
Tip:

All reports include Route and Employee fields for filtering. Use these to narrow results to a specific delivery route or team member for better accountability.

Report 1: Posting Error Report

This report lists all parts that were scanned but did not post to your DMS. It also provides the reason each part failed to post.

Common posting errors include:

  • Part number not found in DMS
  • Purchase order mismatch
  • DMS connection timeout
Action Required:

If parts appear on this report, they were scanned but the inventory was NOT updated in your DMS. You need to manually post these parts or investigate the error cause. Do not ignore this report -- unposted parts mean your inventory counts are wrong.

Report 2: Over/Short Report

The Over/Short report shows discrepancies between what was shipped and what was received:

  • Over -- You received more parts than the shipping document shows. This could mean extra parts were shipped, or a wrong part was scanned.
  • Short -- The shipping document shows parts that were not scanned as received. These parts may be missing from the shipment, still in the box, or left on the truck.
Tip:

Review the Over/Short report before filing freight claims with your supplier. It gives you the exact part numbers and quantities to reference.

Report 3: Invoice Reconciliation Report

This report compares what you were invoiced for against what you actually received:

  • Shows all parts you were billed for, whether received or not
  • Highlights cost variances -- differences between the invoiced cost and what your DMS shows

Use this report to catch billing errors, incorrect pricing, and parts you were charged for but never received.

Report 4: Parts Per Day Report

The Parts Per Day report shows daily scanning activity broken down by type. This is your productivity and usage report.

What it tracks

  • Part Inquiry -- How many part lookups were performed each day. Shows how actively the team is using the scanner for part searches.
  • Not Found -- Parts that were scanned but not found in the system. A high number may indicate barcode quality issues, superseded part numbers, or data entry problems in the DMS.
  • Total Scans Per User -- Breaks down the total number of scans by each user per day. Useful for measuring individual team member activity.
Tip:

Use the Parts Per Day report to measure team productivity and identify scanning trends. If scan counts drop suddenly, it may indicate a scanner issue, staffing change, or workflow problem worth investigating.

Best Practices

  • Check reports daily -- Make it part of your morning routine. Catching errors the same day they happen is much easier than finding them a week later.
  • Address posting errors immediately -- Every unposted part is a gap in your inventory accuracy.
  • Use the Over/Short report for claims -- File freight claims while the shipment is still fresh and you can inspect boxes.
  • Monitor the Parts Per Day trends -- Consistent scan volume means the team is using the system. Dips may indicate problems.
  • Filter by Route and Employee -- Narrow results to track individual performance and route-specific issues.
